The 72-Hour Follow-Up System

I met a facilities director at a holiday mixer three years ago who is, today, one of my strongest relationships: a source of two referrals and a standing invite to quarterly big picture strategy conversations. I almost didn’t follow up. It was December, I was exhausted, and “great meeting you, let’s stay in touch” felt like it covered it.

What actually saved that relationship was a rule I’d forced on myself: nothing sits longer than 72 hours. Not a policy I read somewhere, just a line I drew because I’d watched too many good conversations evaporate into “we should catch up sometime” and then just not.

Q4 hands you more face time than any other quarter. Holiday parties, client dinners, chapter events, year-end galas. The calendar fills up with exactly the kind of rooms where real relationships get built. And it’s also the quarter where everyone is the most tired, the most overextended, and the most likely to let a great conversation just quietly disappear into the noise of the season.

Here’s what I’ve noticed after enough Decembers: the relationships that actually turn into something aren’t the ones where the conversation itself was better. They’re the ones where the follow-up happened inside a specific window, before the moment went cold. Everyone thinks the magic is in the conversation. It’s not. It’s in the 72 hours after.

The system isn’t complicated, but it’s specific: three tiers, based on how the conversation actually went, each with its own timing and its own script. Here’s the whole thing.
